About the Role
This is an early-career operations role for someone who wants to learn how a startup works from the inside out — and is excited to get their hands dirty while doing it.
As Operations Associate, you will help keep Ramona running day to day while building the systems that help us scale. You’ll own a mix of onboarding logistics, shipping coordination, vendor follow-up, office workflows, internal documentation, trackers, shared tools, and recurring operational processes.
This is not an office admin or front-desk role. The role touches office operations, but the opportunity is much broader: becoming a trusted operator who can take messy, important work and make it run smoothly.
A meaningful part of the job will be repetitive, logistical, and unglamorous. You may be coordinating shipments, restocking supplies, updating a tracker, following up with a vendor, or documenting a process. That work matters. When the details are handled well, the rest of the company moves faster.
The right person is scrappy, hungry, organized, and low-ego. You are willing to start with execution, earn trust through follow-through, and grow into broader ownership over time. You do not just want to complete tasks — you want to understand the system, improve it, and eventually own more of it.
This is a strong fit for someone 2–4 years into their career who wants to build range, take on real responsibility, and grow with an early-stage company.
What You’ll Own
- Operational Execution: You will own recurring operational work that needs to happen reliably and without heavy oversight. Responsibilities may include: coordinating onboarding logistics for new hires, supporting product shipments with our Production team, managing vendor follow-up, and supporting day-to-day office operations.
- Systems, Documentation, and Internal Tools: You will help keep Ramona organized by maintaining the systems and documentation that people rely on. Responsibilities may include: maintaining and improving internal processes, keeping internal wiki content accurate, building and maintaining company tools, and organizing internal information so the right people can find what they need quickly.
- Cross-Functional Coordination: You will often be the person connecting people, information, and next steps across teams. Responsibilities may include: coordinating between Ops, People, Sales, and leadership, tracking open loops, communicating blockers, and helping the Chief of Staff execute cross-functional projects from start to finish.
- Process Improvement and Automation: You will be expected to notice friction and help make recurring work better over time. Responsibilities may include: identifying repetitive workflows that can be improved, using AI tools to streamline tasks, and building lightweight systems that reduce manual follow-up.

- You are not excited by context-switching, follow-up, and making sure things actually get done
Qualifications
Required:
- 2–4 years of professional experience, or equivalent evidence of high ownership and strong execution
- Excellent attention to detail and follow-through
- Strong written and verbal communication skills
- Comfort with ambiguity, context-switching, and changing priorities
- Ability to manage many small details without losing sight of the bigger picture
- A low-ego, high-ownership mindset
- Willingness to do both visible project work and repetitive behind-the-scenes execution
- Strong judgment about when to act independently, when to ask questions, and when to escalate
Preferred:
- Experience in a startup, small company, lab, technical environment, or fast-paced operations setting
- Experience with tools like Google Workspace, Slack, Notion, Airtable, Rippling, or similar systems
- Exposure to onboarding, people operations, vendor coordination, logistics, project coordination, or internal systems work
- Curiosity about AI tools and workflow automation
- Interest in growing into a broader operations, people operations, business operations, or internal systems role
What Success Looks Like
- First 30 Days: You understand Ramona’s basic operating rhythms, tools, and systems, and are completing assigned operational tasks reliably with strong attention to detail.
- First 60 Days: You are independently owning recurring workflows with minimal oversight, communicating clearly on status and blockers, and identifying gaps in documentation, trackers, or handoffs.
- First 90 Days: You are a trusted execution partner to the Chief of Staff, independently owning at least one scoped operational project and improving at least one recurring workflow.
- First 6–12+ Months: You have reduced operational load on the team, improved core workflows, and are growing from task ownership into broader systems and cross-functional ownership.
